This policy explains how Workroom Retail Ltd (“WorkRoom”, “we”, “us” or “our”) collects and uses personal information when you visit www.work-room.co.uk, contact us through the website, or use the online booking and ticketing services linked from it.

Workroom Retail Ltd is responsible for the personal information we collect and use for the purposes described in this policy. In data protection terms, we are the “data controller”.

WorkRoom is separate from Workroom South West Ltd, trading as Little Green Rooms, and from Fed, which operates the “& Collective” café within the building. We do not share your contact details, booking records or marketing subscriptions with either business.


The information we collect

Depending on how you use our website and online services, we may collect:

– Contact and enquiry information: your name, email address, telephone number, company name and the information you include in a message.
– Booking information: the space or service you book, booking dates and times, guest numbers, contact details, requests and related correspondence.
– Account information: where we offer customer accounts through SimplyBook, the details you provide to create and manage your account and your booking history.
– Event information: ticket purchases, registration details and information you provide through Eventbrite.
– Accessibility and dietary information: requirements you choose to provide through Eventbrite to help us organise your attendance.
– Transaction information: payment status, transaction references, amounts, refunds and the information needed for receipts and accounting records.
– Marketing preferences: your newsletter subscription, consent records and requests to unsubscribe.
– Website information: technical information such as your IP address, browser and device type, together with pages visited, interactions, referral information and cookie identifiers, depending on the tools in use and your consent preferences.

Please only include personal information in enquiry forms that is relevant to your request.


How we collect information

We collect information directly from you when you submit a website form, communicate with us, subscribe to a newsletter, make a booking or register for an event.

We also receive information through the providers we use to manage those activities:

– Gravity Forms: website enquiry forms.
– Google Workspace: email correspondence and copies of enquiries sent to our inbox.
– SimplyBook: online bookings and, when available, customer accounts.
– Square: payments for bookings made through SimplyBook.
– Eventbrite: event ticketing, registrations and information supplied during registration.
– Google Analytics 4: website usage information, subject to the consent arrangements described below.

Where someone books on behalf of another person, we may receive that person’s relevant details from the person making the booking. Please ensure they know you are providing their information and direct them to this policy.



How and why we use your information

Accessibility and dietary requirements

You may choose to provide accessibility or dietary requirements when registering for a WorkRoom event through Eventbrite. We use this information to understand and accommodate your requirements.

Some requirements can reveal sensitive information, such as an allergy, disability or religious belief. Please provide only the details needed to explain the arrangements you require.

Where your requirements reveal sensitive personal information, we will ask for your explicit consent to use that information for arranging your attendance. You can withdraw your consent by contacting us. We will explain how withdrawal affects any arrangements that depend on that information.

We do not use accessibility or dietary information for advertising or newsletter marketing.



Bookings, accounts and payments

We use SimplyBook to manage online bookings and, when introduced, customer accounts. Information held there is used to administer your account, manage bookings and communicate with you about them.

Payments for SimplyBook bookings are processed through Square. WorkRoom does not retain full payment card details.

Tickets for WorkRoom events will be sold through Eventbrite. Payment information submitted through that platform is processed through its payment arrangements.

Booking and payment providers may also use information for their own purposes, such as operating their services, preventing fraud and meeting legal obligations. Their own privacy notices explain those activities.



Newsletters and promotions

When we introduce a WorkRoom newsletter, you can choose to subscribe to receive news, offers and information about our spaces and events.

We will not automatically subscribe you simply because you make an enquiry, book a space or buy an event ticket.

You can withdraw your marketing consent at any time by using the unsubscribe link in our emails or contacting us. This does not prevent us from sending necessary messages about a booking or transaction.

Little Green Rooms may feature WorkRoom events in emails sent to its own audience. Those promotions do not involve sharing WorkRoom’s customer or subscriber lists with Little Green Rooms.



Cookies, analytics and advertising

Our website uses cookies and similar technologies. Necessary cookies support essential website functions, including remembering your consent preferences.

We use Google Analytics 4 to understand how visitors use our website and help us improve it.

We may also use advertising tools, including the Meta Pixel, to measure advertising results and, where enabled, show relevant advertising to people who have visited our website. These tools may provide the relevant provider with information about your device and website interactions.

Our intended approach is to use analytics and advertising technologies only after you give the relevant consent through our cookie settings.

For events organised by WorkRoom, we do not provide attendee lists to other event organisers or businesses for their own use or marketing.


International processing

WorkRoom is based in the UK. However, the providers we use may process information or allow access to it outside the UK.

Where a transfer is subject to UK data protection transfer rules, an appropriate transfer mechanism is required. Depending on the provider and destination, this may involve UK adequacy regulations or approved contractual safeguards.

How long we keep information

We retain information for the purposes described in this policy and delete or anonymise it when it is no longer needed, subject to legal requirements.

Website enquiry forms: submissions stored in our WordPress website are automatically deleted after two years. This setting applies to the website copy. It does not automatically delete email copies or information held in booking and ticketing platforms.

Where information is needed for an ongoing complaint, dispute or legal obligation, we may retain the relevant records for longer. Providers acting as independent controllers apply their own retention arrangements to information they hold for their own purposes.


Your rights

Depending on the circumstances, you have rights to:
